Procedure to Follow for an Extended Absence Parents must reach out to the Head of Junior, Assistant Heads of Middle & Senior Divisions and the Director of Boarding at least one week in advance of a planned extended absence. If the appropriate school leader is not notified with at least one week's notice, they are not able to support appropriately and ensure the teachers are also supported. Junior School 1. Parents email the Head of the Junior School to request an extended absence. In this email, please provide all relevant details, including the reason for the absence and dates. 2. The request is considered and parents may be required to meet with the Head of Junior School if the school has concerns about the timing and length of the planned absence. 3. The Head of Junior School will copy the Junior School Office, who will update their attendance file. In addition, the Head of Junior School will contact the child’s homeroom and specialist teachers to notify them of the approved absence. 4. Please note that the school will not provide students with a set of formal lesson plans or activities to complete during their absence, as these cannot replicate the in-person learning that occurs in class. Instead, students in Junior Kindergarten to Grade 3 are encouraged to continue to read daily. Students in Grades 4 to 6 are encouraged to follow along on Canvas to the best of their ability. There will be no remote access (via Zoom) for extended absences. Middle School 5. Parents email the Assistant Head of Upper School, Middle Division to request an extended absence. In this email, please provide all relevant details, including the reason for the absence and dates. 6. The request is considered and parents may be required to meet with the Assistant Head if the school has concerns about the timing and length of the planned absence. 7. The Assistant Head will copy the Day School Office, who will update their attendance file. In addition, the Assistant Head will contact the child’s Guidance Counsellor to notify them of the approved absence. 8. The Guidance Counsellor will meet with the child and, together, they will prepare the extended absence form. The purpose of this form is to record the essential material for which students are responsible and record any adjusted due dates for assessments that they need to complete upon their return to school. It ensures clear and consistent communication between the teachers and the student. Please follow the instructions on that form. There will be no remote access (via Zoom) for extended absences. Senior School 1. The student emails the Assistant Head of Upper School, Senior Division and copies her parents. In this email, please provide all relevant details, including the reason for the absence and the date.
