4. Policy 4.1 The Principal of the school is responsible for the administration of this policy. 4.2 The Principal has a duty to maintain proper order and discipline in the school. The Principal also has a duty to give assiduous attention to the health and comfort of the students under her care. 4.3 The school will strive to maintain a safe and secure learning environment for students, staff and community members included in school programs, through an effective management of the video surveillance systems. 4.4 The school recognizes both the legal obligation to provide appropriate levels of supervision in the interests of student safety and the fact that students have privacy rights that are reduced but not eliminated while the students are under the supervision of the school. 4.5 Video surveillance systems will only be used in public spaces – hallways, entrances, open general offices, cafeterias and the building perimeter. 4.6 The video surveillance system of the school will operate seven days a week, 24 hours per day. 4.7 The confidential nature of the information contained on the video surveillance will be preserved. 4.8 The school shall provide the authorization for the use and control of video surveillance equipment on school property, both interior and exterior, where circumstances have shown that it is necessary and the benefits outweigh the impact on the privacy of those observed. 4.9 Video surveillance shall be considered by the school only when other means of deterrence have been shown ineffective. 4.10 Faculty, staff, students, parents and Board of Governors shall be informed on the use of cameras on school property. 4.11 Signs will be posted in visible locations notifying the students, staff and public of the presence of the video surveillance systems. 4.12 Information obtained from video surveillance equipment shall only be used for the protection of students, staff and the public or in assisting in the detection and deterrence of criminal activity and vandalism. 4.13 Video surveillance shall not be used for the purpose of monitoring staff performing their assigned duties. 4.14 The school will make video recordings available to police upon written request for the purposes of a law enforcement investigation. 4.15 The only personnel who may view the videotapes or digital files in the school are the Principal/their designate, the Facilities Director, Building Services Manager, Security or other school staff where necessary in the performance of their duties and only for the Objectives outlined in 2.0 above. 4.16 A review and assessment of the video surveillance program shall be carried out by the Facilities Director at least once every three years to ascertain whether the program and the placement of video surveillance is still justified. 4.17 Covert surveillance has the potential to be highly privacy invasive and must only be used as a last resort in a time limited, case specific circumstance. 4.18 Where appropriate, this policy shall be incorporated into training and orientation programs of the school and service providers.

By sending your daughter(s) to Havergal College, you agree that her/ their image, voice and likeness can be used on the school’s websites, external websites managed by Havergal, social media sites (e.g., Facebook, Twitter, Instagram and Snapchat, etc.), school publications and marketing materials (e.g., Inside Havergal, brochures, Torch, etc.). Please note: full names will never be associated with photographs/ videos without parental consent. On external websites managed by Havergal, appropriate and available privacy settings will be implemented when available. Parents should discuss the appropriate privacy settings of personal social media accounts with their daughter(s). All material will remain the exclusive property of Havergal College and the school shall own all copyright and other proprietary rights therein. In addition, media outlets are periodically invited to attend Havergal events and may request photographs of students to accompany print and/or online articles or broadcast segments pertaining to the school. Whenever possible, parents will be notified in advance of the presence of media at the school. Also, text, images or recordings may appear in electronic form on the Internet, media or other publications by external groups or organizations outside of Havergal’s control. Havergal will not be held responsible for any harm that may arise from such unauthorized reproduction. Policy Statement Havergal College (the “school”) authorizes the use of video surveillance equipment to monitor school property to maintain safe and secure learning environment for students, staff and community members included in school programs. 2. Objectives The objectives of video surveillance are to: • enhance the safety of students, staff and visitors to the school; • protect school property against theft or vandalism; • aid in identifying intruders or persons breaking the law while on school premises; and • meet identified security needs. 3. Objectives 3.1 Video surveillance systems means a video, physical or other mechanical, electronic or digital surveillance system or device that enables continuous or periodic video recording, observing or monitoring of individuals in school buildings and on school property.
